A Simple Checklist for Tracking Domain & Hosting Renewals

Losing a domain to an expired registration can take a business offline, break every email address on that domain, and hand the name to whoever registers it next. Yet domain and hosting renewals are some of the easiest deadlines to lose track of, especially once a company runs more than a handful of domains across different registrars.

Why this specific deadline is so risky

A missed domain renewal isn't like a missed software subscription that just stops working — there's typically a grace period, then an auction, then the domain is gone for good. Recovering a domain that's been re-registered by someone else ranges from expensive to impossible. And because domains are often registered years apart, by different people, on different registrars, no single person naturally has visibility into all of them.

The checklist

  • List every domain and hosting account the business owns in one place, regardless of which registrar or host it sits with.
  • Record the renewal date and registrar for each entry.
  • Assign an owner for each domain — someone accountable if the renewal is missed.
  • Set reminders at 30, 14, and 3 days before expiry, rather than relying on the registrar's own emails (which are easy to miss in a shared inbox).
  • Review the full list quarterly, since domains bought "just in case" are the ones most likely to be forgotten entirely.
